Role brief

HeartFlow is looking for a Medical Education Meeting Manager/Planner/Program Manager  to support our medical education, advisory boards and symposia at 3rd party conferences..   We are on a trajectory for growth and there is a lot of opportunity to grow alongside the company. #LI-Remote; #LI-IB1

Responsibilities:

  • Plan and execute HCP programs to include luminary programs, fellows courses, advisory boards, and symposia at 3rd party conferences.  
  • Planning responsibilities include budgeting, hotel site selection, contract negotiation, rooming lists, F&B, AV, ground transportation and air arrangements, printing, shipping, attendee management & customer service, onsite support (as needed) and reconciliation. 
  • Liaise with the Compliance to track and monitor all compliance related expenditures and reporting requirements.
  • Frequent internal communication or cross functional collaboration with field sales and other cross functional teams including marketing, market access, accounting, etc.
  • Work closely with vendors, and other collaborators outside of HeartFlow
  • Research and recommend efficiencies in logistics, technologies, procedures, and/or industry related solutions.

Qualifications:

  • Bachelor's degree in business, communication, organizational leadership or related field of study and 5+ years of work experience
  • 5+ years of HCP meeting planning experience
  • Strong negotiation and analytical skills
  • Excellent communication skills.
  • Experience with SalesForce.com and utilizing online registration tools (i.e. Blackthorn, CVENT)
  • Detail-oriented, results driven, self-organized and self-starter.
  • Ability to manage & prioritize multiple concurrent events.
  • Adaptable and change agent in an evolving environment.
  • CMP and/or HMCC preferred.

Parameters:

  • Ability to travel within the US up to 40% 
  • 100% Remote position based in the US

A reasonable estimate of the base salary compensation range is $80,000 to $140,000 per year, cash bonus, and stock options.
